Events Coordinator

Head Office (Kramerville, JHB)

We have a vacancy at Exclusive Books Head Office for an Events Assistant. The successful applicant will assist the events manager with admin tasks such as following up on bookings, arranging payment of suppliers, organising events recoveries with publishers and various administrative tasks. You will be in charge of managing basic events such as book signings, standard book launches and running the coffee morning schedule. Attendance after hours at some events will be necessary. If you are detail and deadline orientated, organised, are passionate about books and authors and have a background in marketing or events, apply right away!

Outputs
• Overseeing standard book-related events from start to finish, including book signings and book launches.
• Arranging and confirming bookings with suppliers
• Liaising with publishers and stores on the monthly coffee morning schedule
• Assisting on-site with events after hours and on some weekends as needed
• Managing the invoicing, payments and events recovery processes
• Printing and distributing events posters, flyers and information
• Making travel arrangements
• Follow up on completed events and compiling a feedback report
• Disseminating the events information to members of the marketing team and following up on the distribution of this information to mall management, Fanatics and relevant media
• Managing the Fanatics mailer process and inclusion of events information in the monthly e-zine
• Compiling and distributing the monthly events and marketing calendar to all staff members and stores
• Uploading and disseminating events photos
• Responding to store queries via email with regards to events information and POS
• Basic office administrative tasks

• Must be able to deal well with a fast-paced job
